Receipts go missing
Paper slips are lost before month-end, so finance either chases employees or posts claims without evidence an auditor would accept.
Odoo ERP · Expenses
We configure Odoo Expenses so employees submit claims from their phone, the right manager approves them, finance pays them once, and every amount lands on the correct account and project.
Odoo expenses implementation is the configuration of Odoo's Expenses app so that employees can record business spending with a photo of the receipt, route it to an approver, and have it reimbursed and posted to accounting without re-typing. It covers expense categories, approval responsibilities, company-paid versus employee-paid expenses, analytic distribution, and re-invoicing billable costs to customers.
Expense claims are small individually and expensive collectively. Receipts arrive in envelopes or chat messages, approvals happen in hallways, finance re-keys amounts into the ledger, and nobody can say what a project actually spent on travel until weeks later. Odoo Expenses solves most of this out of the box, but only if categories, accounts, approvers and payment methods are set up to match how your company really spends money.
Paper slips are lost before month-end, so finance either chases employees or posts claims without evidence an auditor would accept.
A verbal yes from a manager leaves no record of who approved what, and over-limit claims slip through because nobody checks a policy.
Fuel, meals and client travel all end up in one general expense account, so cost per project, branch or department cannot be reported.
Travel or materials bought for a client job are reimbursed to the employee but forgotten when the customer invoice is prepared.
We read your written or unwritten expense policy and turn it into expense categories, default costs per category where you use fixed rates, and the expense accounts each category posts to.
Each employee gets an expense approver, usually their manager or a team lead, with access rights set so approvers see their team's claims and finance sees everyone's.
Mobile submission through the Odoo app, an email alias that turns forwarded receipts into draft expenses, and, on Enterprise, receipt digitization to pre-fill amounts and dates.
Employee-paid claims reimbursed by bank payment or, where Odoo Payroll is used, added to the next payslip; company-card spending recorded without creating a payable to the employee.
Analytic plans for projects, branches or cost centers so each claim can be split across them, giving real cost figures in project profitability and management reports.
Categories marked as re-invoiceable at cost or at sales price, linked to the customer's sales order so approved expenses appear on the next invoice automatically.
The receipt image travels with the expense from submission to the journal entry, which simplifies audits.
Approved claims post their own journal entries; finance reviews and pays instead of re-typing.
Analytic allocation shows travel and incidental spending per project, client or branch rather than as one lump sum.
Re-invoiceable categories reduce the chance of absorbing expenses that the contract allows you to bill.
Fuel, tolls and client meals submitted on the road, approved by the regional manager the same day and reimbursed in one weekly payment batch.
Travel for client engagements tagged to the project and re-invoiced at cost, so billable spending is recovered on the next invoice.
Site purchases made with petty cash or personal funds recorded against the site's analytic account, giving each project a true cost picture.
Each branch's claims approved locally and posted to that branch's company or analytic account while head office keeps a consolidated view.
Each step ends with something finance can check before the next one starts.
We collect your current claim forms, limits, per-diem rules and the accounts finance uses today.
A short, usable list of categories mapped to expense accounts and taxes, avoiding the hundred-line list nobody can choose from.
Approvers and access groups assigned per department, including who can approve their own team versus all claims.
Expense journal, employee payable accounts, analytic plans and the payment or payroll route for reimbursements.
One team submits actual receipts for a cycle on staging so we can adjust categories and rules before everyone starts.
A two-minute mobile walkthrough for employees, an approval session for managers and a posting and payment session for finance.
Employees see their own claims, approvers see their team's, and only finance users can post and pay.
Approval, refusal and reset actions are logged in the record's chatter with user and timestamp.
Once posted, expense entries follow your accounting lock dates, so closed periods are not changed by late edits.
Company rules keep each entity's employees, claims and accounts separate where you run more than one company.
We start from the journal entries finance needs to see and work backwards to the categories employees choose.
We set up Expenses alongside Accounting, Payroll and Project so reimbursements and re-invoicing work end to end.
We push back on over-detailed setups that make submission slow and push employees back to spreadsheets.
Where you need limits per grade, per-diem calculations or extra approval levels, we can add them with Studio or a small module.
Fixed-price packages with the scope written down, paid stage by stage. Your project goes live once it's fully paid.

Yes, the Expenses app is part of Odoo Community. Some conveniences, such as receipt digitization that reads amounts from a photo and reimbursement through Odoo Payroll, depend on Enterprise features or paid services.
Standard Odoo uses one approver per employee, with finance posting the entry afterwards. If your policy needs a second approval above a certain amount or by a department head, we add that with Studio or a small custom module.
Yes, when Odoo Payroll is in use, approved employee-paid expenses can be added to the employee's next payslip instead of being paid separately. Otherwise reimbursements are registered as payments from a bank or cash journal.
You mark the expense category as re-invoiceable and link the expense to the customer's sales order. Once approved and posted, the cost appears on the sales order and is included in the next invoice at cost or at the category's sales price.
Standard Odoo lets you set a fixed cost per category, which suits per-diems and mileage, but does not block claims above a limit by default. Policy limits by grade or category can be enforced with a custom validation check that we build.
