Real estate management software from first enquiry to final installment

Availability lives on a printed map, leads in agents' phones and installments in a ledger book. We build custom systems and Odoo-based solutions where units, buyers, payments and tenants are tracked in one place.

Definition

What is real estate management software?

Real estate management software tracks a property business's inventory and its customers: which units, plots or apartments exist, which are available, reserved or sold, who is interested, what each buyer has agreed to pay and when. For rental portfolios it also covers leases, rent and maintenance. For developers and agencies it connects the sales pipeline to bookings, installment schedules and receipts; for landlords and property managers it connects tenants to rent collection and upkeep.

Industry challenges

Operational problems we see most often

01

Availability out of date

Two agents promise the same unit because the inventory sheet wasn't updated after the last booking or cancellation.

02

Leads that disappear

Enquiries from portals, social ads, walk-ins and calls stay in individual agents' phones, and follow-ups depend on memory.

03

Installments tracked by hand

Down payments, monthly or quarterly installments, possession charges and late fees are recorded in ledgers that are slow to reconcile.

04

Commission disputes

Agent and dealer commissions are calculated after the fact, without a clear record of who brought the buyer and what was received.

05

Transfers without a trail

Resale and transfer of units or plot files involves several documents and fees, and the history of ownership is hard to reconstruct.

06

Rent and repairs off the books

Rent due dates, renewals and maintenance requests for rented units are handled over the phone, so arrears and repair costs are unclear.

Workflow

From a portal enquiry to a fully paid unit

One unit record carries the lead, booking, payment plan and any later lease or transfer.

  1. 01

    Enquiry

A lead arrives from a portal, an ad, a call or a walk-in and is assigned to an agent automatically.

  2. 02

    Site visit

The agent schedules a visit, shows available units from live inventory and logs the outcome.

  3. 03

    Hold and booking

The chosen unit is held for a set period, then booked once the token or down payment is received.

  4. 04

    Payment plan

An installment schedule is generated for the buyer, and every receipt is posted against it.

  5. 05

    Possession or transfer

On completion of dues the unit is handed over, or a transfer to a new buyer is recorded with its fees.

  6. 06

    Lease and upkeep

Rented units move to leasing: rent schedules, renewals and maintenance requests are tracked per tenant.

Workflow: Enquiry → Site visit → Hold and booking → Payment plan → Possession or transfer → Lease and upkeep.
Automation opportunities

Work the system can do for you

Hold expiry

Unit holds that are not converted to bookings by their deadline are released back to available stock.

Installment reminders

Buyers receive SMS, WhatsApp or email reminders before each due date, and overdue notices after it.

Lead routing

New enquiries are assigned by project, source or agent availability, with follow-up tasks created on assignment.

Commission calculation

Agent and dealer commissions are computed from the booking and released as buyer payments are received.

Integrations & reporting

What it connects to, and what it reports

  • Property portals and lead forms
  • Facebook and Google lead ads
  • WhatsApp and SMS gateways
  • Payment gateways and bank deposits
  • Interactive site maps and floor plans
  • Document signing and storage
  • Odoo Accounting or existing accounting software

  • Installments due, received and overdue
  • Commission payable by agent and dealer

Security & scalability

Access control, auditability and growth

Role-based visibility

Agents see their own leads and available units; buyer payment histories and pricing approvals stay with management and accounts.

Controlled price changes

Discounts and price overrides beyond a set limit require approval and are recorded with the approver.

Ownership history

Bookings, transfers, cancellations and refunds are kept as a permanent trail for every unit.

Implementation approach

Inventory and balances first, then everything that depends on them

  1. Model the inventory

Structure projects, blocks, unit types and pricing rules exactly as you sell them.

  2. Load buyers and plans

Import existing buyers, payment plans and receipts, and reconcile balances with accounts before go-live.

  3. Launch sales and CRM

Agents start working leads, holds and bookings in the system with live availability.

  4. Add collections and leasing

Installment reminders, receipts, rent schedules and maintenance follow once sales data is stable.

  5. Open self-service

Optional buyer and tenant portals or a mobile app let customers view statements and raise requests.

FAQ

Real Estate software questions

What does real estate management software do?

It keeps an accurate record of units and their status, manages leads and agents, records bookings and installment plans, tracks receipts and dues and, for rental property, manages leases, rent and maintenance, all linked to the same unit.

Can the software manage installment plans and late payments?

Yes. Each booking gets its own payment plan (down payment, periodic installments, possession charges) with due dates, reminders, receipts and late charges calculated from the plan.

Is Odoo suitable for real estate businesses?

Odoo CRM, Accounting, Documents and Sign cover leads, receivables and paperwork, but Odoo has no standard module for unit inventory, installment plans or transfers. Those are built as custom Odoo modules or as a custom application connected to Odoo Accounting.

Can agents check unit availability from their phones?

Yes. Agents can see live availability, place time-limited holds and log site visits from a mobile app or a responsive web portal, so two agents cannot book the same unit.

Can it handle both property sales and rentals?

Yes. The same unit record can move from sale to lease, so developers who retain and rent part of a project, or agencies that both sell and manage property, can run both from one system.
