Distribution management software development for route-based sales

Order bookers in the market, vans on the road, stock in several godowns and money with retailers. We build the system that keeps all four in step.

Definition

What is Distribution Management Systems?

Distribution management software development is the building of systems that run a distributor's sales and supply operations: order booking on mobile devices, route and beat planning, van sales, dealer and retailer orders, trade schemes, delivery, cash collection and stock across several warehouses. A distribution management system connects field activity to inventory and receivables, so the office knows what was ordered, delivered and collected each day. It is usually a mobile app for field staff plus a back office, built custom or on an ERP such as Odoo.

In many distributorships order bookers write orders in a diary, phone them in at the end of the day, and the office types them up overnight. Vans leave with stock that is not recorded per vehicle, schemes and discounts are applied differently by each salesman, and retailer credit is tracked in a ledger nobody checks before the next delivery. Van sales software only works if it is fast enough for a salesman standing at a shop counter.

Business challenges

Where distribution operations leak money

01

Orders re-typed every evening

Paper or phone orders are entered overnight, so warehouse loading starts late and mistakes reach the retailer.

02

Van stock nobody can reconcile

Load, sales, returns and leftover stock per van do not add up at the end of the day.

03

Schemes applied inconsistently

Trade offers, free goods and slab discounts are calculated by hand and disputed by principals.

04

Retailer credit out of control

Salesmen deliver to shops that are already over their limit because outstanding balances are not visible in the field.

Use cases

Where it makes the biggest difference

FMCG distributors

High-volume retail coverage with daily beats, trade schemes and van deliveries.

Pharmaceutical distributors

Pharmacies and hospitals with batch and expiry control and credit terms.

Building material dealers

Dealer orders, bulk deliveries and recovery from contractors and sub-dealers.

Manufacturers with dealer networks

Dealer portals for orders, targets and statements alongside the manufacturer's own sales team.

Process

From route map to daily settlement

We follow a real route, in person where practical or by video with your team, before designing the field app.

  1. Ride the route

Follow an order booker and a delivery van for a day, in person or by video, to see the real field workflow.

  2. Decide platform

Choose between Odoo with a custom field app, a fully custom system, or extending what you already run.

  3. Design the field app

Prototype order screens that a salesman can complete in moments at a shop counter.

  4. Build back office

Routes, schemes, warehouses, loading, settlement and receivables screens for the office.

  5. Migrate masters

Import shops, routes, products, price lists and opening balances per retailer.

  6. Pilot one route

Run a single route end to end for a period and compare with the paper process.

  7. Roll out territories

Train field staff in groups and extend route by route.

Security & scalability

Security, quality and scale

Device and user control

Field apps are tied to users, and access can be revoked if a phone is lost.

Offline data protection

Data stored on devices is limited to what the salesman needs and synced when online.

Approval for overrides

Price changes, extra discounts and credit overrides need office approval.

Audit trail

Orders, deliveries and collections record who did what, where and when.

FAQ

Distribution Management Systems: questions we hear most

Does the order booking app work without internet?

Yes, it can be designed to work offline. Orders, visits and collections are stored on the device and synced when a connection is available, which matters in markets with weak mobile coverage.

How is distribution software different from inventory software?

Inventory software controls stock within your warehouses, while distribution software adds the field side: routes, order booking, van sales, schemes, deliveries and collections from retailers. Distribution systems usually include inventory as one part.

Can the system handle principal schemes and claims?

Yes. Schemes such as free goods, slab discounts and trade offers can be configured per principal and period, and the system can produce claim reports in the format each principal requires.

Can we track where salesmen are?

The app can record GPS location at check-in and when orders are placed, giving visit verification without continuous tracking. The level of location tracking should be agreed with your staff and follow local rules.

Can dealers place orders themselves?

Yes. A dealer portal or app can let dealers place orders, view statements and track deliveries, with orders entering the same approval and dispatch flow as field orders.

Should we build on Odoo or custom?

If you also want Odoo for purchasing, stock and accounting, building the field app on top of Odoo is usually the most efficient route. A fully custom system fits when you want to keep your current accounting software or your model is unusual.
