Custom inventory management software that matches what is on the shelf

We build stock systems around how goods actually arrive, move and leave your premises, so the number on screen is the number in the store room.

Definition

What is Inventory Management Systems?

Custom inventory management software is a stock control system designed around one business's products, locations and movement rules rather than a generic template. It records every receipt, transfer, adjustment and dispatch, so on-hand quantity, stock value and reorder needs can be calculated from transactions instead of guessed. It can be built as a standalone application or configured and extended on an ERP such as Odoo Inventory.

Inventory problems rarely start with the software. They start with goods received without being recorded, items moved between rooms without a transfer, units of measure that differ between purchasing and sales, and stock counts that are adjusted without a reason. A stock management system only helps if it makes the correct action the easiest one for the people handling the goods.

Business challenges

Why stock figures drift away from reality

01

Quantities nobody trusts

Sales staff phone the warehouse to check stock because the system figure has been wrong too often to rely on.

02

Units and packaging confusion

Bought by the carton, stored by the box and sold by the piece, with conversions done in someone's head.

03

No batch or expiry visibility

Expired or near-expiry goods are discovered at the back of the shelf instead of being flagged by the system.

04

Valuation that never matches accounts

Stock value in the inventory tool and in the books are calculated differently, so every month-end needs a manual reconciliation.

What Digihub provides

Our Inventory Management Systems service

01

Stock process audit

We document receiving, put-away, internal transfers, picking, returns and stock counts as they happen today, including the informal workarounds.

02

Product and location model

SKU structure, variants, units of measure and conversions, warehouses, rooms, racks and bins, defined before anything is built.

03

Barcode and mobile workflows

Scan-based receiving, transfers, picking and cycle counts on handheld scanners or Android phones, designed for gloved hands and poor lighting.

04

Lot, serial and expiry tracking

Traceability from supplier receipt to customer dispatch, with first-expiry-first-out suggestions where shelf life matters.

05

Replenishment and valuation

Minimum and maximum levels, reorder suggestions and a costing method (such as FIFO or average cost) agreed with your accountant.

06

Opening stock migration

A counted, reconciled opening balance loaded into the new system, so it starts from a figure everyone has signed off.

Included capabilities

  • Multi-location and bin-level stock
  • Barcode and QR label printing
  • Lot, serial number and expiry tracking
  • Unit of measure conversions
  • Reorder rules and purchase suggestions
  • Cycle counts with adjustment reasons
  • Stock valuation reports
  • Movement history for every item
  • Low-stock and expiry alerts
  • Role-based access for store staff
Business benefits

What Inventory Management Systems changes for your business

01

Stock figures you can quote

Sales staff can answer availability questions from the screen instead of a phone call.

02

Fewer write-offs

Expiry and slow-moving alerts surface problems while there is still time to act.

03

Purchasing based on data

Reorder suggestions use real consumption, reducing both stock-outs and overstock.

04

Cleaner month-end

Valuation is calculated from the same transactions your accountant uses.

Use cases

Where it makes the biggest difference

Wholesale and trading

Fast-moving SKUs across one or more godowns, with purchase suggestions based on actual sales rather than memory.

Pharmacies and medical supplies

Batch and expiry control where selling an expired item is not an option.

Spare parts stores

Thousands of small parts with alternate part numbers, bin locations and slow-moving stock reports.

Retail with a back store

Shop-floor and store-room stock kept separate, with replenishment transfers between them.

Process

From stock audit to a system your store team uses

We start with a walk through your store or warehouse, not with a feature list.

  1. Walk the floor

Observe how goods are received, stored, picked and dispatched, and collect the paperwork currently used.

  2. Decide build or configure

Compare your requirements with Odoo Inventory and other options and recommend the shortest path to a reliable system.

  3. Model products and locations

Agree SKU rules, units, locations and tracking requirements in a written design.

  4. Build in iterations

Deliver receiving, transfers and dispatch first, then counting, replenishment and reports, with reviews after each piece.

  5. Count and migrate

Run a physical count, clean the product list and load opening stock with a reconciliation report.

  6. Train on the floor

Train store staff on scanners at their own racks, using their own products.

  7. Go live and support

Monitor adjustments and discrepancies in the first weeks and fix the causes, not just the numbers.

Security, quality and scale

Role-based permissions

Store staff, purchasers and managers each see and change only what their role requires.

Audit trail

Every adjustment records who made it, when and why, so shrinkage can be investigated.

Backups

Scheduled database backups with a tested restore procedure for your hosting setup.

Mobile workflows can be designed to queue scans when warehouse Wi-Fi drops, then sync.

Why Digihub

What working with us looks like

We recommend configuration first

If Odoo Inventory already covers your process, we will say so rather than build from scratch.

Floor-level design

Screens are designed around the person holding the scanner, not the person reading the report.

Connected to the rest

We also build the POS, distribution and accounting links that inventory depends on.

Clean opening data

We treat the opening stock count as part of the project, because a new system on old data fails.

Pricing

FAQ

Inventory Management Systems: questions we hear most

Should we build custom inventory software or use Odoo?

Use Odoo Inventory if you also need purchasing, sales and accounting and your stock processes are reasonably standard. A custom build makes sense when your workflow is unusual, when you only need stock control alongside an existing accounting system, or when you want full ownership of the code. We make this recommendation after reviewing your process.

Can the system work with barcode scanners we already own?

Usually yes. Most USB and Bluetooth scanners behave like keyboards, and many Android handhelds can run a web or mobile app. We confirm compatibility with your specific devices during discovery.

Can you track batches and expiry dates?

Yes. Lot and expiry tracking can be enabled per product, with alerts for near-expiry stock and suggestions to pick the earliest expiry first.

How do we move our current stock into the new system?

We recommend a physical count close to go-live, a cleaned product list and a reconciled opening balance import. Migrating historical movements is optional and decided case by case.

Does inventory software handle multiple warehouses?

Yes, multiple warehouses and locations within them are standard. If you also run van sales, dealer orders or route deliveries, our distribution management systems cover those flows on top of inventory.

How much does a custom inventory management system cost?

Cost depends on the number of workflows, tracking requirements, integrations and whether we build from scratch or configure an ERP. We provide an estimate after a short discovery, once the scope is clear.
